Minutes of the Friends of the Mission Hills-Hillcrest/ Knox Library
July 10, 2021
The meeting was held in the meeting room at the Mission Hills-Hillcrest/Harley and Bessie Knox Library. The meeting was called to order at 10:00 A.M. by Phyllis Marion, President. An attendance list is at the end of the minutes.
Minutes: The minutes of the June 15th special board meeting were approved by the members of the board.
Membership: Nancy Carol Carter reported that the membership list has been updated to extend memberships as discussed at the June meeting. Nancy agreed to a membership drive in the autumn.
Financials: Don Rudesill was not present. No report.
Website: Al Hoefer said that he blogged every month during the pandemic. Sue Eubanks questioned if Googling “library bookstore Mission Hills” will locate our site. Al will check and see if we can add this.
Corporate Meeting: Phyllis said that the Corporate focus is on getting up and running again. However, advocacy on the budget was successful. An advocacy team meets with each council member before council meetings. Corporate also advocated to make sure we met the match limit of one million dollars. Despite the difficulty of reaching donors during the pandemic, the match was met. This continues many years of meeting this goal in order to get an equal amount from the city.
Fundraising/Book sales: Michele Pieters said that when the bookstore reopened in June, we had a lot of material in storage that had been donated during the pandemic. To reduce the volume, we will have a sale on July 24 from 9:30 A.M. to 1:30 P.M.
Michele has staff for every day the store is open, but we are short on Fridays. We need to add a few volunteers to replace those who moved or are no longer available.
To direct buyers to the store instead of the library, Steve will have staff move the outdoor carts closer to the store but still have some presence near the front door of the library.
Steve said that the library hours will change as of July 31. Monday and Tuesday hours will be from 11:30 to 8, Wednesday through Saturday will be from 9:30 to 6. This will cause bookstore hours to change and schedules to change as well.
Phyllis explained that University Heights is not accepting large donations of materials as of now.
Librarian’s report: Steve reported that it is the end of the fiscal year. His only expenditure is the leased book subscription of $16,000.00.
In library news, as of July 31, the study rooms and the community room will reopen but with occupancy restrictions.
A new youth services librarian, Carrie Sanabria, will begin July 16. She is coming to us from Mission Valley. We are also getting two new assistant two employees from Point Loma.
There is new art in the Children’s area.
President’s report: Phyllis explained that the Corporate bylaws are being updated. She will email the details to us so that we can approve the changes at the August meeting.
Old business: We voted to approve the $500.00 that was invoiced for advertising the upcoming book sale.
We sent $20,000.00 to matching funds to help meet the one million dollars for matching by the city.
We need a new president and programs officer for the slate of officers to be voted on at the August meeting.
The Goltz fund has donated money for staff activities.
New business: Phyllis distributed volunteer hours sheets. The city keeps track of the hours and assigns an hourly monetary value to the hours, showing the value of volunteer hours.
Phyllis suggested a limit of $250.00 for the president or the treasurer to spend when we are not at a meeting to approve the amount. The current amount is $100.00. The expenditure is to be approved at the next meeting. We voted to approve this.
The chapter annual meeting will be Saturday, August 7th from 10 A.M. to noon in the meeting room.
Roundtable: Sue Eubanks said that she has placed new guidelines for donated materials in the file folder in the bookstore. Copies may be given to potential donors.
