Minutes of the Friends of Mission Hills-Hillcrest Knox Library

August 27, 2022

The meeting was held in conference rooms at the Mission Hills-Hillcrest/Harley and Bessie Knox Library. The meeting was called to order at10:00 A.M. by Anne Box, President. An attendance list is at the end of the minutes.

Steve Wheeler introduced Monee Tong, Supervising Librarian Area Four.

Minutes: The minutes of the June 18, 2022, meeting were approved as submitted. We did not have a meeting in July.

Financials: Don Rudesill provided the July financial report. Bookstore sales were $1,442.83. Cash sales were $911.00 and Square sales were $531.83. Amazon sales were $830.26 and book cart sales and donations were $17.82. Total income was $2,295.32.

Expenses included $561.07 for programs during the month. Expenses related to on-line sales were $67.99. Total expenses were $629.06. Our totals in all accounts are $164,403.75.

Anne distributed a chart of our sales month by month which Sue Eubanks had prepared. Anne said that she learned at the Corporate Friend meeting that many Friends groups have only about $200.00 in sales monthly.

In response to a question, Steve said that cleaning the carpet in the bookstore will be included in cleaning the library carpet, which has been requested.

Librarian’s report: Steve provided matching funds balances. The Materials fund has a balance of $15,176.08. Equipment and Supplies $7,286.47, Performers/Contracts $1,924.71 and the non-matched Trust fund $10,466.93. Steve submitted a check from the Friends at the end of June that may not be reflected in the balances. Expenditures included fees for the Summer Reading Program performers, a music stand and supplies for the laser cutter. Total expenditures were $5,243.46.

Steve reminded us of future programs and an upcoming noon flute duo on Tuesday, August 30th. There are flyers for future programs posted in the library.

Steve requested $100.00 for a mahjong set, $150.00 for books for a new LGBTQ teen book club and an ongoing expense for books for the group. The requests were approved. A previous performance by the Luce Puppet Company was not approved by the city. Steve requested $450.00 which was approved. He also requested a one-time payment of $750.00 for the signing classes for babies in the month of September which we also approved.

Programs: Maggie Meyer requested ideas and help for the Lunch and Learn for Seniors events. The attendance has not been what was hoped for so far. If you are interested in helping or have ideas, contact Maggie.

Bookstore: Michele Pieters explained that as of the end of September, her duties will be divided among Jean Stein, Holly Murten, Susan Chenven and Sue Eubanks. Jean will take on scheduling and contacting new volunteers, Holly and Susan Chenven will continue with all Amazon and Abe operations, Sue Eubanks will provide signage, printing of reports and documents, and will order supplies.

Please RSVP immediately for the September 11th luncheon. We must have a total head count for the food order. We approved a total of $500.00 for the event.

Sue Eubanks will laminate signs so that we can reuse them for half price sales. They will be placed strategically instead of in many places in the store.

Sue also needs someone to do the hours for October. Contact her if you can do this.

Corporate Friends: Anne attended the August 13th meeting. Corporate has a new president, Ann McDonald. Corporate needs our Friends membership list and asked for a volunteer list.

Our annual dues to Corporate are due. Anne will take care of this.

There was a discussion at the meeting of signature gathering for the Libraries and Parks initiative for the November ballot.

Roundtable: Nancy Carol Carter brought up the issue of outreach to other Friends groups. We need to find out how to help any that may be interested. No decisions were reached.

The next meeting will be at 10:00 A.M. on September 24th, then on October 22nd, and November 19th. All meetings are on Saturday at 10:00 A.M. in one of the conference rooms at the branch.
